Administrative Assistant - Office Operations

POSITION SUMMARY:

Reporting to the Director of Finance, the Administrative Assistant provides reception support, and general office assistance.  The incumbent is also responsible for providing information in a professional manner in response to public/program inquiries, and for preparing and disseminating program courses and information as directed. The position requires a person who communicates professionally in an office setting, is multitask orientated, is outgoing (personable), is reliable, and who enjoys working in a team orientated environment.

MAJOR RESPONSIBILITIES:

The specific duties and responsibilities to be performed include:

  • Provide general secretarial and administrative support to staff of Oshki-Pimache-O-Win: The Wenjack Education Institute.
  • Answer incoming calls, acknowledge and accommodate public inquiries for program information, which may include providing information requested, directing calls to the required staff and or guests, and taking messages when necessary.
  • Responsible for setting up and maintaining an up to date list of security codes.
  • Responsible for recording/tracking the use of student loaned computers and ensuring the computers are returned on time.
  • Responsible for maintaining an up to date list of staff information.
  • Prepare interview packages when required. 
  • Record incoming/outgoing mail and faxes
  • Provide general assistance and co-operation to ensure the proper functioning of all office operations.
  • Maintain filing system, telephone directories and listing of materials related to the institute’s current research activities. 
  • Type, format and distribute correspondence, reports and other documents as required.
  • Perform reception duties including ensuring all guests sign-in upon arrival and sign-out before they leave.
  • Data entry of accounts payable
  • Prepare and Process Book Invoices
  • Prepare, distribute promotional materials for Recruitment Officer for Career Fairs/Community Visits.
  • Assist Executive Assistant for preparation of Governing Council Meetings

ACCOUNTABILITY:

The Administrative Assistant is responsible to the Director of Finance for implementing her/his duties and responsibilities on a day to day basis.    

The Administrative Assistant will be accountable to the Executive Director for overall work performance according to the Personnel Policies and Procedures.   

QUALIFICATIONS:

  • Office Administration Diploma (or equivalent)
  • 2 to 3 years work experience in fast paced office environment
  • Strong organizational and time management skills with ability to multi-task
  • Proficient computer skills in Microsoft Office Word, Excel and other software programs
  • Must be able to travel
  • Basic Bookkeeping skills experience considered an asset, and
  • Fluency in either Oji-Cree or Cree would be an asset.

Student Support Officer

POSITION SUMMARY:  

Under the direction and supervision of the Student Success Director, the Student Support Officer will be responsible for the implementation of the Student Success strategy that offers a range of student support services to OSHKI students in coordination with Program Coordinators, Faculty, College Partners and others as required.  The Student Success Initiative is designed to support student retention and success.  The focus for this position is to provide support to OSHKI students by actively engaging with them so they may successfully complete their course requirements that will lead to their graduation.

Business Program Coordinator

POSITION SUMMARY:

Reporting to the Director of Academics, the Business Program Coordinator shall coordinate the accredited postsecondary programs offered at OSHKI. In partnership with our college and university partners, the Business Coordinator will have primary responsibility for the delivery of accredited post secondary programs as assigned from time to time including IWAP (Indigenous Wellness and Addictions Prevention Program). The Business Program Coordinator consults with the Director of Academics on all aspects of program operations, including student services, program development and delivery.
